What to include in your first email

If you don’t know the answers, “not sure yet” is fine—this just helps scope the work.

Goals and constraints

  • Top 1–3 outcomes for the next 30/60/90 days
  • Constraints that matter most (security, compliance, budget, timeline)
  • Who needs to approve changes

Current state

  • Where infrastructure lives today (AWS/Azure/Google Cloud, on‑prem, hybrid)
  • How changes are made (console, scripts, IaC, tickets)
  • Current pain: outages, cost, delivery speed, security concerns

Domains/DNS/email (if relevant)

  • Where domains are registered and where DNS is hosted
  • SPF/DKIM/DMARC status and any deliverability issues
  • Recent outages from DNS or certificate problems

Engagement fit

  • Who will own the work after handoff
  • Fixed-scope deliverable vs fractional support
  • Any deadlines you can’t miss

Applied AI (if relevant)

  • Are you running local AI today (Ollama, Open WebUI, ComfyUI, PyTorch)?
  • Constraints: privacy, IP, compliance, data residency
  • Hardware available (GPU type/VRAM) and reliability expectations
  • How access should be controlled (SSO, VPN, RBAC) and what should be logged
